Printing/Scanning/Copying

There are 11 new multi-function Ricoh printers in the following copy/print areas: 1026, 2040, 2060, 2120, 2156, 3040, 3060, 3120, 3156, 4044 and 4064. Both black and white and color options are available.

Sending/Receiving mail

Mail is typically dropped off to either individual units or the mailroom in the case of bulk mail. There is a postal container in each mailroom for outgoing mail. Mailrooms are located in 1023, 2034, 2151, 3034, 3151, and 4038.

Mail delivery to GISB varies greatly. The following is a rough schedule for incoming mail. Mail is usually delivered to units after the last drop-off.

  • Campus mail – between 1000 and 1100
  • US Mail – between 1200 and 1400
  • UPS – 1230
  • FedEx – no standard delivery time
  • DHL – no standard delivery time

Storing critical data

Where can we store our critical data?
Critical data (including some student data) needs to be stored securely. Electronic data should be stored on the university's critical data solution. You should never store critical data on your desktop workstation, laptop, PDA, USB drive, flash drive, or any mobile device.

Critical paper data that cannot be scanned is most secure when stored in the locking desk/file cabinets behind locked office doors. Critical paper data is less secure when stored in open areas of the building, including in locked desk space or locked file cabinet.

There are specific regulations regarding how long we should keep financial, student, and tax data. Everything else can be kept as long as needed (2 years is the normal legal timeframe).

Using the air conditioning and heating

The University maintains an acceptable temperature range of 68.0 to 78.0 degrees in GISB. There are thermostats scattered about, each one controlling a VAV (variable air voluming) box which in turn controls airflow to several offices, or one open area or conference room. The HVAC system maintains the temperature in areas based on the thermostat temperature. If the temperature at the thermostat drops below 68 degrees, heat is applied; if the temperature at the thermostat rises above 78 degrees, chilled air is applied. This affects all offices controlled by a particular thermostat. The thermostats do not respond to changes from the occupant. To determine which thermostat controls your work area or office, contact the building manager. The GISB ventilation system exchanges the air every 12 hours.

NOTE: If you cause the temperature in your office to rise above 78 degrees and you have a thermostat, you will turn on air conditioning to all other offices on that VAV.

Using the lockers

The lockers in the open areas have digital combinations.  Individual combinations are preset by administrators in your area.
